Overview
The Administrative Section of the Embassy deals with the day-to-day management of administrative, logistical, property, equipment, security, and well-being of personnel. The Section also oversees the maintenance of facilities, Japanese service providers, coordination of services, and implementation of safety and security measures within Embassy premises.
Job Purpose
The Administrative Assistant (Finance Section) provides clerical and administrative support to ensure the efficient day-to-day operations of the office, including but may not be limited to the following, document processing, attend to banking related issues/concerns, ability to liaise directly with local service providers and stakeholders, provide assistance to the Finance and Collecting Officers when needed/ warranted under given circumstances, and other general office support.
Responsibilities:
- Provides general administrative and clerical support to the Finance Section;
- Maintains and organizes financial files, records, and documents;
- Assists in the preparation and processing of financial documents, including disbursement vouchers and payroll, and other supporting financial documents;
- Coordinates with internal sections and other stakeholders (bank and service providers) of the Embassy on finance-related matters;
- Acts as translator as necessary;
- Ensures confidentiality of documents and information; and
- Perform other tasks as assigned by the immediate supervisor and other officials of the Embassy.
Qualifications:
- Japanese or Filipino national; Male or Female; between 25 and 45 years old;
- University/Bachelor’s degree in any field;
- Prior experience in finance or accounting-related work is preferred;
- Good verbal and written communication skills in Filipino, English and Japanese languages;
- Proficient in Microsoft Office applications (Preferably in MS Word and Excel);
- Ability to handle multiple tasks efficiently with minimal supervision; and
- For Filipino nationals, must be a holder of a long-term resident visa or permanent resident in Japan;
General considerations:
The selected candidate will be given a six-month contract, renewable thereafter, subject to performance evaluation and availability of funds.
The actual appointment salary (¥250,000) will be determined based on the candidate’s qualifications and work experience, if any. Additional benefits include: 13th-month pay, transportation allowance, and other mandatory benefits provided under Japanese laws, etc.
Work experience with other diplomatic/consular missions or similar organizations will be considered an advantage.
