Consular Outreach Missions

Consular Outreach Missions

In coordination with Filipino associations and members of the Filipino community in Japan, the Embassy conducts consular outreach missions to provide consular services and assistance to Filipinos outside of Tokyo and within the consular jurisdiction of the Embassy. These missions are undertaken based upon the consular outreach parameters of the Embassy (i.e. available resources, number of applicants, and distance from Tokyo, among other things) and requests of members of the Filipino community and of Filipino associations.

The Embassy welcomes requests for outreach missions. A written request may be sent to the Ambassador detailing the proposed date, time, venue, and expected number of Filipinos who wish to avail of the services provided during such missions. The request should be addressed to:

The following are the parameters to be considered for these outreach missions:

  1. Minimum number of 100 consular applications. For missions to be undertaken until 31 August 2009, Overseas Absentee Voters Registration may be also administered provided that there is a minimum of 200 registrants per the guidelines of COMELEC.
  2. Adequate and appropriate work space to conduct the consular mission (at least 100 m2) to accommodate consular staff and applicants comfortably. Appropriate spaces include civic halls (kumin hall), social halls, school halls, etc. These should also include adequate facilities and fixtures such as tables, chairs, restrooms, heaters, air conditioners, etc. The venue should be also accessible by public transportation. A lay-out and map of the proposed venue should be attached to the request.
  3. Requests should be sent at least two (2) months prior to the planned date/s for the outreach mission to allow the Embassy and organizations enough lead time for planning and preparations.
  4. The letter should also include the names, telephone numbers, and contact persons of the requesting group or organization.
  5. All requests are subject to review and final approval of the Embassy.
